Out of office & VoiceAI

Goal: "When the office is closed, caregivers still need someone to call." Let CareQB's VoiceAI answer, handle routine requests, and escalate real emergencies to whoever is on call.

What VoiceAI can do

Off-hours Voice AI routes calls outside business hours to CareQB's AI answering service. It can handle most after-hours requests, including callouts and shift questions. Everything it does is logged in the caller's chat, and After Action Reports summarize it the next morning. VoiceAI flags urgent issues for your team.

VoiceAI is billed per minute. Ask your CareQB contact for pricing.


Set up out-of-office periods

Recurring (every week)

  1. On the Out of office calendar, click New recurring OOO (or click a block to edit it).
  2. Set From / Until: day of week and time.
  3. Choose:
  4. Activate VoiceAI for Inbound Caregiver calls
  5. Deactivate Auto-callout handling if you don't want CareQB to confirm callouts and send fill-in requests during this window
  6. Call transfer target (emergencies, etc.): an on-call phone
  7. [Optional] Add an auto-responder for texts
  8. Save. Use Duplicate ruleset → Select target days to copy it.

One-off (holidays, closures)

Click Create One-Off OOO, pick the start and end, and choose the same options. Upcoming one-offs are listed under Upcoming scheduled out-of-office.

No on-call phone? VoiceAI transfers calls back to the CareQB line, which rings your team according to their notification rules. Make sure someone has an on-call rule.


  • Quiet hours (Fill-in Requests settings): CareQB still watches for callouts 24/7, but waits until quiet hours end to text caregivers fill-in requests.
  • Auto-callout resolution: lets CareQB confirm off-hours callouts and start fill-in requests on its own. See Handling callouts.
  • Exclude from voiceAI: opt an individual caregiver out in their side panel → Automation Settings.
