Navigating CareQB

Goal: Know where everything lives, and use the Home screen to see what needs your attention right now.


The left sidebar

The sidebar takes you to each area of CareQB. Here they are in order, with what you'd go there to do.

Tab Go here to…
Home See what needs attention now: unread messages, recent calls, open shifts, active requests, your tasks, and what your team is doing
Clients Look up a client's profile, preferences, and contacts; send client shift reminders or a broadcast to clients
Caregivers Search and filter caregivers, review profiles and availability, send bulk messages and shift reminders
Candidates Track applicants who aren't hired yet, and message them in bulk
Calendar See the week's shifts by client or caregiver; create requests, reminders, and check-ins from a shift
Threads Revisit important past conversations, review flagged items, and print conversations for records
Callouts See every callout CareQB detected and the fill-in effort for each one
Requests (desktop) See every fill-in, grouped, and general request, plus shift reminders, in one place
Workflows (desktop) Schedule recurring work, like a weekly push to fill next week's open shifts
Chats Your main workspace for one-on-one and group conversations

Your agency may not see every tab. For example, some agencies hide the Calendar. If you're missing something you need, ask your Agency Admin or support@careqb.pro.


The top bar

From right to left:

  • Settings (gear): your notification settings, Do Not Disturb (DND on/off), audio devices, desk phone setup, your cell number, password, and log out. Admins also reach Agency Settings from here.
  • Scheduled messages: every upcoming scheduled message across the agency.
  • Comments & Tasks: comments and tasks assigned to you, plus a log of AI actions. See Keeping your office in sync.
  • Team Chat: internal conversations with teammates.
  • Phone selector: switch which agency phone number you're sending from (if your agency has more than one).
  • Send Feedback :): send us a feature idea, ask for help, or report a bug. We read every one.

Tip: DND on stops everything from ringing and notifying you, without editing your notification rules. Turn it back off when you're available again.


The Home screen

Home is built for a quick answer to "what needs me right now?"

Left: your queue

Use the toggle at the top to switch between three views:

View What it shows
Msg Queue Conversations waiting on a reply, plus recent calls
Open Shifts Upcoming shifts with no caregiver assigned, each with a Find fill-in button
Fill Reqs Fill-in requests that are currently active

Inside Msg Queue you can also switch between:

  • Queue: unread conversations. Sort by Longest wait (default) or Newest first.
  • Calls: recent calls across all your agency's numbers. You can play recordings, read summaries, view the surrounding context, or Call back.
  • Live: what's happening right now.

From any item you can Quick reply without leaving Home, View context, or Mark read.

Filter by CareQB Phone? limits the queue to specific agency numbers. Click Save as default to keep that view.

Read/unread is shared by the whole team. If you open a conversation but someone else should follow up, mark it unread again so it stays in the queue.

Right: your team and your tasks

  • Team Status: who's Active, Offline, or on DND. Check Hide inactive? to shorten the list.
  • Active Calls: calls in progress right now. Join one if you need to.
  • Latest Activity: recent activity across the team, with Go to chat shortcuts.
  • After Action Reports: the latest Daily – Handoff and Weekly – Admin Review summaries, if your agency has turned them on. See After Action Reports.
  • Unfilled shifts: open shifts coming up, with Find fill-in or Show request. You can filter by location.
  • Comments & Tasks: items waiting on you.
  • Outbound faxing: send a PDF fax. See Sending a fax.

Tips for new users

  • Check your sending number at the bottom of the message box before you reply. It decides which agency number the caregiver or client sees.
  • Install the desktop app from install.page/careqb for system notifications and a dedicated window.
  • Use Home first thing in the morning and at handoff. Between the queue, unfilled shifts, and the After Action Report, it's your shift-change checklist.
