Sending shift reminders¶
Goal: "Make sure everyone knows about this weekend's shifts." Send each caregiver, or each client family, one tidy message listing their upcoming visits.

Remind caregivers¶
- Open Caregivers and click Send Shift Reminders.
- Choose the dates: Coming Weekdays, Coming Weekend, Upcoming Week, or Selected Dates.
- Review Caregivers to remind. Everyone with shifts in that range is included, and you can search to add or remove people.
- Edit the message. It must include
{{shift_list}}, which CareQB replaces with each caregiver's own list of shifts. - Send Reminders.
Remind clients¶
- Open Clients and click Send client shift reminders.
- Choose the dates (same options as above).
- Review Clients to remind. Each client's primary contact receives one message covering all their upcoming visits.
- Clients without a primary contact won't get a reminder. Add one from the client's profile first.
- To send to a different contact just this once, change it here. The client's usual contact stays the same.
- Keep
{{shift_list}}in the message and click Send Reminders.
Following up¶
Reminders are tracked like a request. Open Requests → Reminders to see who has confirmed, declined, or not replied. From there you can:
- Follow up with remaining recipients. This won't message anyone who already confirmed or declined.
- Reopen with pending recipients to resend to people who haven't replied.
- Close request, optionally with a closing message and an internal note.
If a reply needs action (for example, "Actually we're out of town Saturday"), CareQB flags it so you can update the schedule.
Tips¶
- Pair client reminders with caregiver reminders before holiday weekends to catch mismatches early.
- Make it automatic. If you send the same reminders every Thursday, set up a recurring workflow so it happens without you.
- Exclude specific caregivers from automated reminders in their side panel → Automation Settings.
