Broadcasts & bulk messages

Goal: Reach the right group of caregivers (or clients) with one message, without texting everyone, and keep the replies organized.

Each person receives the message individually. It isn't a group text, so replies come back one-to-one.


When to use what

Send a broadcast to caregivers

  1. Open Caregivers.
  2. Narrow the list using any combination of:
  3. Location filter and Quick filters: cities, A-Tier, inactive reason, undelivered messages, latest message date
  4. Skills & Prefs: type a client's name to apply their requirements, or pick preferences such as pets, smoking, transfers, memory care, care intensity, gender, or needs a car. You can also filter by distance.
  5. Filter by Shift: a day and time window. This removes caregivers with conflicting shifts.
  6. Client search: caregivers who are a Best match for, or Scheduled with, a specific client
  7. Select caregivers individually or Select all.
  8. Click Send Broadcast (on mobile, Bulk Message).
  9. Write your message, or click Apply template. You can attach one image.
  10. Decide whether to Track caregiver responses?
  11. On: replies are grouped into a request you can follow on the Requests tab. Give it an internal label (such as "New client inquiry – Riverside") and an expiry in hours.
  12. Off: a simple one-way announcement.
  13. Send.

Some caregivers may be skipped automatically. CareQB leaves out caregivers whose last message failed, who are mid-way through another automated conversation, or who haven't replied to repeated messages. It also flags anyone marked as excluded for the client you searched. Click the notice to see exactly who was skipped and why.

Follow the replies

  • Tracked broadcasts appear on the Requests tab under General. See The Requests tab.
  • From the request you can Follow up with remaining recipients, Reopen with pending recipients, or Close with remaining recipients (optionally with a closing message).
  • Past Broadcasts on the Caregivers tab lists what's been sent recently.

Send a broadcast to clients

  1. Open Clients and filter by care requirements, location, callout rule, or caregiver gender.
  2. Select clients and click Send Broadcast.
  3. Each selected client receives one message, sent to a single contact: their usual primary contact, unless you choose Self for this broadcast.
  4. Optionally Track responses? with an expiry, then Send.

Useful for weather closures, holiday office hours, or policy updates.


Best practices

  • Turn on response tracking whenever you expect replies. Untracked replies just land in the inbox.
  • Filter tightly. A message to 15 well-matched caregivers beats 150 generic ones, and protects your response rates over time.
  • Use the right tool for shift offers. Fill-in and grouped requests do the matching, follow-ups, and "shift filled" updates for you.
